Review, edit and send replies

Review the reply drafts Sam writes, edit them, offer meeting times or your booking link, and approve each send.

When a prospect replies, Sam drafts an answer. Nothing goes out until you approve that exact reply. Each approval works once.

Set up your booking link first

Sam never reads your calendar. Instead, give him a booking link and the times you like to meet.

Ask Sam in Claude or ChatGPT:

  • "Set my booking link to [your link]."
  • "Suggest meetings Tuesday to Thursday, 10 AM to 4 PM, Eastern time, 30 minutes."
  • "Show my meeting settings."

Only workspace owners and admins can change meeting settings.

If you have a booking link, Sam adds it to a reply only when a meeting makes sense, exactly as written and only once. If you don't, Sam asks the prospect for their availability instead. He never makes up a link.

Review replies in Claude or ChatGPT

  1. Ask Sam: "Show my pending reply drafts." Sam lists them newest first, with the prospect's message and the date it arrived.
  2. To change a draft, tell Sam what to change. Example: "Make the reply to Jane shorter."
  3. To offer times, give Sam one to three specific times you're free. Example: "Offer Jane Tuesday at 10 AM or Wednesday at 2 PM, Berlin time, 30 minutes." Sam shows the times in the prospect's timezone when he knows it.
  4. When it's right, ask Sam: "Send the reply to Jane."
  5. Sam gives you an approval link. Open it, check the text, subject, recipient and sender on Review this action, then click Approve.
  6. Go back to Claude or ChatGPT. Sam sends the reply and confirms when it's sent.

Any edit after approval needs a new approval. If a send fails, the approval is used up and Sam asks you again.

Don't want to send a draft? Say "Reject the reply to Jane, it's too pushy." Rejecting never sends anything, and your reason helps Sam learn.

Stop follow-ups for one person

If someone asks you to stop, or you want to take over, say "Stop follow-ups for John Smith." Sam cancels anything still queued for that person.
